By joining Elite Development Foundation and accepting our Privacy Statement, members (and their guardians) acknowledge that photography and video recording are integral to our operations, community engagement, and the documentation of our activities. This policy outlines how those images are used across our digital platforms, including Facebook and Instagram.
2. Consent through Membership and Participation
- Implied Consent by Participation: Joining the organization and participating in our programs, events, or travel activities constitutes consent to be photographed or filmed.
- Social Media Placement: Members acknowledge that captured media may be used on our official social media channels (Facebook and Instagram) to promote the organization’s mission, celebrate member achievements, and provide updates on events.
- Travel and Events: When traveling with the organization or attending hosted events, the capture of media is a standard part of the experience. By attending, members agree to the placement of these images in our digital archives and public-facing social media.
3. Standards of Use
- Appropriate Content: All photography and video will focus on the activities of the organization. We are committed to portraying all members in a positive, respectful, and professional light.
- Identification: To protect privacy, we do not publish sensitive personal details (such as home addresses or contact information) alongside images. On Instagram and Facebook, we prioritize the use of first names or group descriptions only.
4. Right to Withdraw and “Opt-Out”
We respect the individual’s right to privacy and maintain a clear process for those who wish to restrict the use of their image:
- Withdrawal of Consent: Members may withdraw their consent for future photography at any time by notifying the organization’s administration in writing.
- Respecting the Opt-Out: Where a member has opted out of media coverage, the organization will take all reasonable steps to ensure they are not featured. In instances where video footage or group images are captured and an opted-out member is present, that specific player or member will be edited out or excluded from the final cut before publication.
- Member Responsibility: To ensure these protections are applied effectively, members who have withdrawn consent are responsible for identifying themselves to event photographers or staff on-site to ensure they are not included in active filming or photography sessions.
- Specific Image Removal: If a member or guardian identifies a post on Facebook or Instagram they wish to have removed, the organization will act promptly to delete the content upon request.
5. Media Management and Commercial Restrictions
- No Commercial Licensing: Under no circumstances will the organization sell or license member imagery to third-party commercial entities. All captured media is for the exclusive use of the organization’s mission and community updates.
- Security: All media assets are stored on secure, password-protected systems and are accessible only by authorized personnel.
6. Compliance
This policy is a condition of membership. All staff and volunteers are required to uphold these standards to ensure the safety and dignity of our community.
